Job Description:
This role is unique as it requires wearing two hats: you will support both the Field Operations team and, at the same time, the Office/HR team.
💡What you will do as field ops assistant:
- Manual handling & on-site logistics: preparing, transporting, installing, and returning access control equipment
- Billing & follow-up: assisting with service tracking, sending billing documents, and monitoring financial returns related to operations
- Organizer support: responding to incoming requests related to on-site operations (logistics, technical, or process-related questions)
- Equipment inventory & maintenance: checks, updates, repairs
- Supplier sourcing: transporters, tech equipment rental/purchase providers, consumables
- Documentation updates: user guides for scanners, software, and on-site procedures
- Event preparation
- Managing integration files and coordinating with the tech team
- Forecasting participant numbers and optimizing entry flows
- On-site support (as needed)
- Setting up access control and allocating staff (control, disputes, bottlenecks) > important to highlight in tasks
- Training on-site teams (volunteers, organizer staff, freelancers, Shotgun crew)
💡What you will do as an Office Manager Assistant:
- Manage day-to-day office operationsge day-to-day office operations to ensure that the office environment runs smoothly
- Coordinate the work of service providers, including utilities, deliveries, technical contractors, etc…
- Foster team members happiness, as well as welcome and onboard new employees, making sure that they are ready to hit the ground running
- Event preparation: assist with organizing client events, off-sites, team gatherings, and more (you’re gonna have to get your hands dirty ;) )
- Structure our office management process and set-up efficient internal tools

- 👥 You can work independently and in a team, especially on-site
- 🎖 You have a sense of ownership, responsibility, and are pro-active and autonomous.
- 👀 You’re curious, open-minded, able to think outside the box to get things done quickly and efficiently, and comfortable communicating with various stakeholders
- 🌐 You are fluent in English and French, and are able to communicate with the team across multiple offices
